Main Purpose of the Job

To be the central point of contact responsible for ensuring operational efficiency in relation to office management, administration, events management and document control.

Location: Parktown, Johannesburg

Key Performance Areas

  • Monitoring, ordering, and inventory management of supplies, ensuring compliance with procurement processes
  • Obtaining quotes from relevant suppliers within set budgets and policy requirements
  • Processing of orders for the project’s office and the research laboratory
  • Receipting of goods/orders and capturing payments
  • Follow up on payments and make sure the suppliers are paid
  • Participate in with Asset Verification
  • Managing travel itineraries (flights, accommodation, shuttles liaise with finance for subsistence and travel)
  • Maintaining a good filing system and assisting with photocopying, collation and distribution of documents
  • Liaise with relevant service providers to assist with general maintenance of the building
  • Scheduling meetings, taking minutes
  • Participate in writing SOPs related to the effective functioning of the organisation’s administration and facilities
  • Booking of meeting room/venues for events
  • Preparation of workshops, trainings, and seminars.
  • To set up venue and equipment prior to events.
  • To Organise catering for meetings on request.
  • Work overtime during events (early start or late finish)
  • Acting as the primary point of contact for stakeholders
  • Handling queries and delivering messages, often serving as the face of the office
  • Liaise with ICT for IT-related queries or requests, as well as general maintenance of printers
  • Document Control: Maintaining advanced electronic and physical filing systems, ensuring quick retrieval of records, and drafting correspondence.

Required Minimum Education and Training

  • Any Bachelor’s degree with relevant experience or a degree in Office Management, Public Administration, or
    equivalent qualification

Desirable additional education, work experience and personal abilities

  • 5 years office administration in a research environment or an NGO.
  • Postgraduate qualification in Office Management, Public Administration, will be an added advantage
  • Having a scientific environment background would be advantageous

Required minimum work experience

  • Excellent written and verbal communication skills.
  • Competent in the use of Microsoft office packages (Word, Excel, Outlook)
  • A candidate who can ensure seamless office operations through advanced organizational, administration,
    procurement and communication skills.
  • Ability to think independently and make qualified judgments
  • Able to prioritize own workload in meeting deadlines and handle pressure.
  • Ability to handle multiple reporting lines.
  • Advanced planning, organizing, interpersonal, and problem solving skills.
