Receptionist and Site Administrator: RCL Foods

SIQALO FOODS subsidiary of RCL FOODS are in search for a Receptionist and Site Administrator to join the FOODS DIVISION and will be based in Boksburg.

Job Description

  • The purpose of this role is to perform all administrative and secretarial functions required by the Boksburg site.
  • Provides an administrative support service to the leadership team at the Boksburg site.

Minimum Requirements

  • Secretarial Diploma or any related qualification
  • 2 years of secretarial and administrative experience
  • SAP Knowledge and proficiency in Microsoft Excel

Duties & Responsibilities

  • Performs administrator duties and attends to routine and specific matters of a business for the site leadership team
  • Manages the calendar and independently schedules appointments.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Arranges events or conferences by arranging for facilities and caterer, issuing information or invitations and coordinating logistic requirements for visitors.
  • Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings.
  • Maintains office environment and equipment, coordinating maintenance and repairs
  • Overseeing office services (Cleaners, handymen)
  • Arranges the receiving and distribution of mail and courier requirements
  • Assist with ordering of stationery
  • Recording and maintaining office expenses
  • Coordinating internal and external events
  • Taking and ensuring messages are passed to the appropriate staff member on time
  • Managing meeting room availability
  • Receiving, sorting, distributing and dispatching daily mail
  • Sign for deliveries and ensure packages are distributed accordingly
  • Monitor access to the premises, ensuring that only authorized personnel and visitors enter the building
  • Arrange catering for all site meetings/events as required
  • Control visitor PPE
  • Create workflows / raise POs for monthly and ad hoc general site services/goods
  • Attend to payment queries loaded on SharePoint as they are created
  • Compile accruals for each month at the financial month-end
  • Create expense claims for executives/leadership team as required
  • Assist IT with ordering of laptops, PCs SIM cards, etc
